Minutes

20 April 1999

Members: Robert Meier, Hal Whelply, Tom Phillip, Ron Fonger, Dennis Witte, Eric LaMott, Don Sylwester, Ed Dollase

Staff: Alan Borcherding, Scott Hermansen, Kathy Roberson

Previous Minutes

The following resolution was adopted.

SCT Summit

Alan Borcherding, Don Sylwester, Eric LaMott, and Scotti Hermansen reported on the SCT Summit in Orlando. Comments on the sessions were shared.

Server Selection

Oracle 8 is being installed at the Service Center on NT. The current plan is to use only NT servers to run Oracle.

CUIS to CAIS transition

Kathy Roberson is Assistant CAIS Project Manager and David Hahn is Assistant CAIS Service Center Director. The CAIS/CUIS operation becomes part of the BHE/CUS office as of 1 July 1999.

Contract Update

Oracle seat counts are needed. Project leadership lists are needed from some campuses.

Participation Update

It is anticipated that Fort Wayne will join the project soon.

Training

The Service Center training room is under construction.

Near-Term expenses

BPA and Prototyping are funded through the Implementation Loan.

Council meetings will be funded by payments through the SLA.

Question: Will staff T&E after the prototyping and/or technical training T&E be funded through the Implementation Loan?

Future meetings will be Monday-Wednesday -- flight on Southwest is encouraged to avoid the need to travel on Saturdays.

7 Prototyping Modules

FIN, HR, FA, ST (Registrar, Student Life, Admissions), AD

Scotti has arranged for reduced rates with the Carleton.

CAIS/SCT campus visits

The campus visits will involve a technical assessment, a public rollout event, and a basic project planning activity.

Campus Project Organization

Each campus needs to clarify its project manager's role and authority. It needs to document the project scope and job descriptions.

Prototyping decisions

Prototyping process: Each campus has an official representative on each team. Decisions are made collegially, but in the case of difficult situations the representatives seek consensus. The Council resolves decisions that cannot be resolved on the team, including declaring that no further progress can be achieved.

Summer Schedule

Each Prototyping Team will include a member of the Council, a SC staff member, and Scotti.

Alan Borcherding will participate as needed in a coordinating role.

ACT databases

LCMS Ministries Support is organizing a centralized ACT database that will coordinate with campus records. SCT reports that the interface with Banner is no problem. However, concerns were expressed that the ACT product is not designed to handle large databases.

Next meeting

May 25-27, CAIS SC

May 25: 9:30-5:30
May 26: 8:30-4:30
May 27: 8:30-3:00

The schedule of activities is in process.

Respectfully submitted
Alan W. Borcherding
